   • Contact details: name, phone number, email address, home/shipping address (if needed for materials or document delivery).
   • Registration details: selected program (IELTS, TOEFL, General English, ESP, Conversation, etc.), diagnostic/placement test results, level, class schedule, and class type (private/semi-private/group).
   • Payment & administrative records: payment history, payment method, payment status, invoices and receipts as part of service administration.
2. Academic & Learning Data
   • Initial placement/diagnostic test results, student scores, progress reports, tutor notes on strengths, weaknesses, and special learning needs.
   • Student learning preferences: schedule preferences, preferred class type (private/group/online/offline), or special needs (if disclosed).
3. Media & Content
   • Photos or videos of classes, learning activities, documentation, presentation materials, and class recordings.
   • Attendance and class participation records.

How We Use Your Information

• Service Placement & Delivery: To ensure students are placed in the appropriate class and level based on diagnostic results, and to organize schedules, tutors, and learning materials.
• Monitoring & Progress Evaluation: To track student development throughout the program, provide feedback, recommendations, and—if enrolled in a Guarantee Program—determine whether compensatory sessions are required.
• Administration & Payment: To manage registration, payment processing, confirmations, and service documentation.
• Communication: To send class reminders, registration/payment confirmations, important updates related to the program, and service notifications.
• Marketing & Promotion: To use photos or videos of activities (with consent) for social media, websites, brochures, or other promotional materials. You may request not to have your photo/video published.

Data Storage and Security

• Data is stored digitally with restricted access and secured through staff-access control methods.
• Academic data and test results are stored for as long as the student remains active with Your Tutor. After completing the program, personal data may be deleted upon request.
• Payment and administrative data are stored as required for operational and legal purposes.

Sharing of Information

Your data will not be sold, traded, or rented to third parties for commercial purposes. Information may only be shared under the following conditions:

• Educational purposes: such as referrals to other institutions (schools/universities), with consent from the student/parent.
• Legal Compliance: when required by law, government request, or court order.
• Emergency or Safety Reasons: when emergency contact is needed or in critical situations.

Your Rights and Opt-Out Options

• Right to access & correction: You may request copies of your personal or academic data and ask for corrections if needed.
• Media opt-out: If you do not want your or your child’s photos/videos used for promotional purposes, you may inform us in writing (email/WhatsApp) before or during registration.
• Right to data deletion: You may request deletion of personal data after you stop using our services (except data required for minimal administrative retention).
